The Role

What does a Chapter Coordinator actually do?

"You're not hosting — you're the one who makes sure everything runs."

The Chapter Coordinator sits above the city-level Meetup Hosts. You are the organizational hub — the person who keeps every chapter on schedule, supported, and accountable. While Meetup Hosts shine in their cities, you make sure nothing falls through the cracks.

📊
Manage the Chapter Tracker
Build and maintain the BGMF Chapter Tracker spreadsheet — keeping meetup dates, hosts, RSVPs, and recap status current across every active city.
📣
Post Meetup Reminders
Post reminders for upcoming local chapter meetups in the BGMF Facebook group on a set schedule — 2 weeks out, 1 week out, and the day before.
🤝
Check In with Hosts
Send pre- and post-event check-ins to every Meetup Host. Confirm logistics before and collect photos, recaps, and attendance numbers after.
🗂️
Organize Content & Recaps
Collect all event photos and recap notes from hosts and upload them to the BGMF Google Drive folder, keeping everything organized and accessible.
📋
Monthly Leadership Reports
Submit a monthly chapter activity summary to BGMF leadership — covering events held, upcoming meetups, content collected, and any host concerns.
🌸
Support Your Hosts
Be the first point of contact for Meetup Hosts who need help. Ensure they're following BGMF guidelines and flag anything that needs leadership attention.
